How does an exchange at TSM take place?
Please submit your application for an exchange semester or year in 2024-2025 by the following dates:
- Fall semester: April 20, 2024
- Spring semester: October 20, 2024
You will be able to start your application to our university once we have received your nomination by email from your home university. All nominations are handled by the UT Capitole International Office.
Can I come on an exchange to UT Capitole ?
You can come on an exchange to UT Capitole :
- Only if your home university has a partnership with TSM.
- Only if the UT Capitole International Office receives an approval email of your nomination by your home university.
How can I be nominated to UT Capitole ?
- Your home university must send your nomination to TSM by email to UT capitole at incomingstudents@ut-capitole.fr :
- By April 15 for exchange in the fall semester (first semester)
- By October 15 for exchange in the spring semester (second semester)
- You will receive an email from the same email address that will confirm your nomination. Please read carefully this email that contains information about your application such as the required documents to apply to UT Capitole.
How can I apply to UT Capitole ?
Your application must be submitted via the platform MoveOn. For any inquiries regarding your online application, please contact the UT Capitole International Office.
- The UT Capitole International Office will send you a link by email via the online application MoveOn:
- Before April 20 for exchange in the fall semester (first semester)
- Before October 20 for exchange in the spring semester (second semester)
- Log in via the MoveOn application platform and fill in your profile.
- Fill in the online application and submit it :
- Read carefully the instructions on page 1
- Required documents for your online application :
- ID picture (not an ID card)
- Academic transcripts of records of the last 2 years (in English or in French)
- Proof of English language proficiency (B2 level minimum) if you will follow courses in English
- Proof of French language proficiency (B2 level minimum) if you will follow courses in French
- A learning agreement
- Submit and validate your application (if not, your application will not be reviewed)
- Once your application is submitted, the UT Capitole International Office will review it : check your email.
⚠ When you validate your application, it must be as correct as possible. By making some errors in your application, you increase the processing time for all applications.
What is a learning agreement ?
A learning agreement will contain the study plan of your exchange. It is a mandatory document that will be constructed with your home academic advisor in your home university.
On your learning agreement, you will indicate the courses you will follow in TSM :

This document needs to be signed by:
- yourself
- your home academic advisor
- your TSM academic advisor
This document is divided into two sections :
- Before mobility: where you indicate the courses you want to attend at TSM. This part must be signed before your arrival at TSM
- During mobility: where you indicate the definitive list of courses that you will attend and validate during your exchange. Changes to your initial learning agreement can be made here. This part must be signed after your arrival at TSM.

How to choose my courses?
Your list of courses will be determined with your home university and must be relevant to your field of study. If you have any questions about courses, please contact our international relations office to incoming@tsm-education.fr.

How many courses should I choose?
Your home university (not TSM) determines how many ECTS you need to validate per semester and per year. However TSM requires that:
- It should not be more than 30 ECTS per semester
- It should not be more than 60 ECTS per semester
Considerations when selecting courses and academic culture in TSM
These aspects below are important to consider when choosing your courses.
- As an exchange student, you must choose your courses according to your level of studies:
- Students enrolled in the second year of their bachelor's degree at their home university in 2023-24 will not be able to take master's courses at TSM.
- Students enrolled in the fourth year of a bachelor's degree or the first year of a master's degree at their home university in 2023-24 will only be able to take master's courses.
- Your list of courses can evolve until the start of your mobility in TSM as you may face :
- some overlapping timetables for certain courses
- As an exchange student, you can choose courses from different degrees which can cause some overlaps.
- Tip ! By choosing courses from the same diploma, you will be less concerned about course overlap.
- To check if you have some overlaps, please consult your timetable on the ADE platform.
- limited spots in a course
- Courses in English are more likely to be affected by the shortage of places than courses in French.
- You will be able to register for all courses during your pre-registration meeting.

- Your presence in all courses is mandatory due to continuous assessment. At TSM, the most frequently used rating methods are as follows :
- A percentage (usually more than 50%) of your final grade will be assessed through a final exam.
- A percentage (usually less than 50%) of your final grade will be assessed through continuous assessment, where you will be graded on your attendance and on your homework for each class.
- By missing some sessions, you risk being penalised on your final grade :
- It is advised to not miss more than two sessions per course.
- If more than two sessions of a course overlaps with another course, you should consider a change.

- There are two types of courses at TSM :
- lecture (cours magistraux -CM) : they are theoretical lessons. The number of CM hours will be indicated by 'HCM' in the course catalogue.

- Attendance: your presence at each lecture is highly recommended. If you register for a course, you have to attend it. If you cannot attend a lecture session, you must inform your professor.
- Assessment: depending on the course, you will be graded on a final exam and/or during a continuous assessment (mark on your presence to each session and on the homeworks/presentations you must return for each session).

- tutorials (travaux dirigés - TD) : this will be your practical course in smaller groups during which you apply what you learned during your ‘CM’ courses/lectures. Not all courses are composed of TD courses.The number of TD hours will be indicated by 'HTD' in the catalogue. If it does not appear, it means that the course is composed of CM only.
- Attendance: your presence at each tutorial session is mandatory. If you cannot attend a tutorial session, you must inform your professor.
- Assessment: you will be graded in a continuous assessment (mark on your presence to each session and on the homeworks or presentations for each session).

How can I check my timetable?
The timetable for most courses will be available:
- between mid-July and the end of August for fall semester
- starting mid-December for spring semester
However, the timetable for some courses may not be finalised until after the start of the semester.
You can check the timetable for each course via the ADE platform.
To check for course overlaps, it is highly recommended to view the timetable of each course (if it is available) before your arrival at TSM :
- As indicated, the attendance to courses sessions counts towards your final grade. For that reason, if more than two sessions of a course overlap with another course, you should consider a change.
To know in which diploma your courses correspond to, please check the catalogue:
- Create your own personalised timetable: As you cannot create your personal timetable on the ADE platform, we recommend you to create your own one using for instance Google Agenda in order to make your life easier.
On the ADE platform, you must check the timetable of each course. For your information :
At TSM, schedules can fluctuate from week to week! It is therefore strongly recommended that you check the timetable of each course you have chosen right up to the end of the semester to ensure that they do not overlap.
- some courses only offer lectures (CM)
- some courses offer lectures (CM) and tutorials (TD)
- Each tutorial is taught in small groups.
- If you are concerned by tutorials, choose a group that best suits your schedule.
- There are no content differences between tutorials groups.
- Once you are registered to a tutorial group, you must attend every session.

Once you have submitted your application, you need to complete the important steps detailed below.
Get my learning agreement "before mobility" signed by TSM
- Your signed learning agreement 'Before mobility' must be sent to the UT Capitole International Office at welcome-ut1@ut-capitole.fr.
Your document must be signed by :- yourself
- your home academic advisor

The UT Capitole International Office will be in charge of sending your learning agreement Before mobility signed by you and your home academic advisor to your coordinator in TSM.
Please, note that TSM will not sign a document that has not first been approved by your home university.

- UT Capitole needs to receive your learning agreement by the following deadlines :
- Fall semester : students should get their learning agreement signed by their home university before mid-May. TSM signs learning agreements between June and July.
- Spring semester : students should get their learning agreement signed by their home university before mid-November. TSM signs learning agreements in December.
If you know before your arrival at TSM that you want to make some changes in your list of courses but your learning agreement ‘before mobility’ has been already signed by all parties, you will be able to modify the part ‘During mobility’ or ‘Changes to the learning agreement’ :
- Please inform your TSM incoming mobility coordinator about these changes before your arrival.
Receive your acceptance letter
As soon as your application is validated by the UT Capitole International Office, you will receive an acceptance letter by email :
- Starting mid-May for fall semester
- Starting mid-November for spring semester
Depending on application processing time, your acceptance letter may be sent later than the dates indicated above.
Apply for student housing (CROUS)
- Our university proposes public student housing (called CROUS) managed by the French government. You will be able to express your interest in CROUS residences during your online application for UT Capitole.
⚠Student housing spots are very limited. For that reason, we encourage you to look for private accommodation at the same time, while waiting for a response from CROUS housing.
Allocations of CROUS housing will be made :
- Starting in mid-June for fall semester
- Starting in mid-November for spring semester
Please note that the allocations of CROUS housing can be done later than the dates indicated above. This depends on how long it takes to process your application.
- As soon as the UT Capitole International Office finishes the allocation of CROUS housing, you will receive one of two responses regarding your nomination to CROUS:
- an acceptance letter if your allocation at CROUS residence has been approved.
- It is possible to come before the date written on your CROUS acceptance letter.
- an email that will inform you about the rejection of your allocation at CROUS.
- an acceptance letter if your allocation at CROUS residence has been approved.
- If you've been accepted, CROUS will email a hosting proposal. To rent a room, you have to validate this hosting proposal by email and to fill an online rental form:
- When you finalise your rental application, you will receive a link enabling you to make this appointment.
- It is your responsibility to make an appointment for the handover of the keys, particularly in the case of early arrivals (which is possible).
- Alternatively, you can email the residence directly when your rental application is finalised.
How do I withdraw from my exchange?
If you are considering withdrawing from you exchange, please inform us as soon as possible.
- I haven't received my acceptance letter yet:
- Your home university must inform the UT Capitole International Office by email.
- Your home university must inform the UT Capitole International Office by email.
- I have already received my acceptance letter:
- Your home university must inform the UT Capitole International Office by email.
- If you have been allocated a CROUS accommodation, the UT Capitole International Office will inform them about your withdrawal.
Before your arrival at TSM, you need to plan a few things.
I am a non-european student. How do I get my visa to study in France?
As a non-european or a UK student, you need a visa to study at TSM and more generally in France. Neither TSM nor University of Toulouse Capitole provide assistance for obtaining a visa.
The only documents we can provide to help process your visa are the acceptance letter from Toulouse Capitole University and the acceptance letter from CROUS.
If you have any questions about visas, please contact your home university or the relevant embassy.
When should I arrive in Toulouse and at TSM?

Health insurance
All students must have valid health insurance for the entire duration of their stay in France:
- European/EEA students must bring a European Health Insurance Card or documentation of private health insurance.
- Non-european/EEA students must have proof of private or public health insurance during their stay in France.
Different welcome events are organised at the beginning of the semester for incoming exchange and international students. Make sure to attend!Important and useful information will be provided during this time to help you transition and integrate in the school.
Welcome Week
Welcome Week usually starts :
- during the last week of August for fall semester
- From 26 to 31 August 2024
- during the first week of January for spring semester
- From 6 to 10 January 2025
⚠ Your attendance at the Welcome Week is mandatory!
Here are some events organised during that week:
- Welcome meeting with UT Capitole
- Welcome meeting with TSM
- Administrative registration
- Individual pre-registration meeting to courses
- Campus Tour
There will also be informal events where you can meet other ERASMUS colleagues or local students :
- Coffee break
- Treasure hunt activity
- Sports activities
- Buddy programme meeting
The final list of events for the academic year 2024-2025 will be determined at a later date.
It is highly recommended to participate in these events in order to prepare you for your first days of school. If you cannot participate, please inform the UT Capitole International Office and TSM.
Administrative registration meeting
Upon arriving at TSM, you will need to complete an administrative registration with the UT Capitole International Office.
The administrative registration will allow you to get:
- a student number
- a student card
- access to the wifi
- access to the intranet… and more
The UT Capitole International Office will send you the schedule of your administrative registration meeting by email. During that time, it will be asked to bring some documents :
- Health insurance
- Confirmation of stay/Certificate of attendance/Certificate of arrival, depends on your university. Check with them if you are not sure about this document.
- This document is usually asked from students with an ERASMUS scholarship.

Pre-registration meeting to your courses
Upon arriving at TSM, you will need to pre-register to the courses you want to attend with your TSM coordinator. The pre-registration meetings will start on the first day of Welcome Week:
- You will receive a pre-registration meeting invitation by email:
- In July for fall semester
- In December for spring semester
- Your presence at this meeting is mandatory.
During your pre-registration meeting with your TSM incoming mobility coordinator, you will be able to pre-register to the courses you listed on your learning agreement :
- Once you are pre-registered for a course, you will be able to try the course
- If a course does not suit you or if you are concerned by overlaps, you will be able to select another one.
Please, note that your course list may change at your arrival in TSM due to:
- Overlapping timetable
- Limited sports in a course
- some courses that you do not need to validate in the end
Prepare your pre-registration meeting to avoid some stress by:
- checking the timetable of each course you listed on your learning agreement ‘Before mobility’ (if the timetable is available)
- If more than two sessions of a course overlaps with another course, you should consider a change.
- If you are considering changing some courses, prepare an updated course list before your pre-registration meeting.
- choose a tutorial group if a groups is composed of tutorial sessions :
- Choose one group of tutorials that suits the best in terms of schedule in order to pre-register you in the tutorial group you want to attend.
- There are no content differences between the group of tutorials.

We will inform you before your pre-registration meeting if you are impacted by limited spots in a course :
- A course registration analysis based on your learning agreement ‘Before mobility’ is conducted before your arrival in TSM in order to avoid some stress.
- If you already know that your course list will be different from the course list on your learning agreement ‘Before mobility’, let your TSM incoming mobility coordinator know as soon as possible.
You will be able to change your course list until the sending of your exam registration form to your incoming mobility coordinator.
Pre-registration to your courses in other faculties
If your home university has a partnership with other faculties of UT Capitole, you can attend courses in other faculties.
To attend courses in other faculties, you must register by emailing the relevant coordinator :

Please, contact the relevant coordinator to know if you are eligible to attend the relevant course. Once you are registered, please inform your TSM coordinator.
Once you will be pre-registered for a course, you will be able to try it out.
Test the courses
The courses in which you have been registered during your pre-registration meeting are not definitive :
- If a course does not suit you, you will be able to unregister from this course by informing your TSM incoming mobility coordinator.
- If you want to attend a new course, it will be possible to register to this new course by informing your TSM incoming mobility coordinator, only if there are enough spots in that course.
You will be able to change your course list until the sending of your exam registration form to your incoming mobility coordinator :
- before the tutorials begin, about two weeks after your first day of school for fall semester and for spring semester

- The TSM International Relation Office is located there.

- If you do not know where a classroom is, please come to the reception desk office.

- The UT Capitole International Office is located on this campus.
- J104 room (Building J)
- The UT Capitole International Office is located on this campus.
- Manufactures des Tabacs campus
You can find on the ADE platform in which campus will take place your course session :
- AF + number of the classroom : the course will take on the Anciennes Facultés campus.
- AR + number of the classroom : the course will take place on the Arsenal campus.
- M + number of the classroom : the course will take place on the Manufactures des tabacs campus.
TSM email address and UT Capitole email address
During your exchange, you will have two e-mail addresses. A TSM e-mail address will be sent to you with your password before your arrival, and a UT Capitole e-mail address will be sent to you by the UT Capitole International Office, after your administrative registration:
- Most of the communication will be done via your TSM email address.
- The content of your courses will be accessible using your TSM email address (except those using the Moodle platform).
To avoid having to connect to two separate e-mail addresses, make sure to transfer all emails from there to your TSM inbox so you have all your mails in one place.
For doing so, please log into your student intranet account, and follow these steps:

Access to the intranet and the wifi
Once your administrative registration is completed, you will be able to access the intranet of the university and the wifi.
To find out how to access them, please refer to the student guide provided by ut-capitole, p.29, for all the necessary information.
Student Health
There is a medical and social service dedicated to student health called the SIMPPS (inter-university service for preventive medicine and the promotion of health). Consultations are free of charge and by appointment.
Furthermore, if you are a student with a disability (dyslexia, ADHD, a physical disability, etc.), the university offers support and resources. For instance, you may be eligible for special arrangements for exams and/or your studies.

Pre-registration meeting
See the section ‘YOUR FIRST DAYS AT TSM AND IN TOULOUSE’.
Exam registration form
On your exam registration form, you will put your definitive list of courses you want to attend for your semester.
You will need to complete and send this document before tutorials begin by email to your TSM coordinator :
- more or less 13 days after your first day of school for fall semester and for spring semester
On this document, you need to fill :
- your personal information (if you do not have your student number, ignore this field).
- the courses you will attend:
- code of the course
- name of the course
- name of the professor
- your tutorial group if a course is composed of tutorial sessions
- number of credits
Once that is done, rename your document as followed and send it back by email to your TSM coordinator :

Learning agreement "during mobility”
The 'During mobility' or 'Changes in the learning agreement' section of your learning agreement must be completed and/or signed by all parties once you have registered for the exams, i.e. once your course list is definitive and unchanged :
- Your course list in your learning agreement must be the same as the one on your exam registration form : it is your definitive list of courses.
If your course list has changed, you will be able to add these changes in the section 'During mobility' or 'Changes in the learning agreement' of your learning agreement :
- It is important to keep your first version of the learning agreement that we signed before your arrival.
- You do not have to create a new learning agreement if your list of courses changed. There is a section in your existing learning agreement where you can update your course selection.
TSM will sign your learning agreement ‘Before mobility’ once it is signed by :
- yourself
- your home academic advisor
This is what you need to know once you will be at TSM.
Learning Management Systems at TSM
TSM's faculty tries to make the content of their courses as attractive as possible. For that reason, professors use different online LMS in which they will share the content of theirs courses or homeworks:
- Google Classroom
- TSM Academy
- Slack
- Moodle
The online platforms may differ from course to course. Professors will inform you of which platforms they use at the beginning of the semester. An online invitation will be sent to you via your TSM email address as soon as you register for a course. The Moodle platform is accessible with your UT Capitole e-mail address.
Class Attendance
Your presence in all courses is mandatory due to the continuous assessment. At TSM, the most frequently used rating methods is as follows :

Exams
At TSM, final exams take place at the end of the semester :
- Fall semester : starting at the end of November
- Spring semester : starting at the end of March
Many TSM courses are based on a continuous assessment which means that grading begins at the start of the semester.
The examination procedures for each course are explained by the professor at the beginning of the semester.
If you cannot attend an exam, inform the professor as soon as possible with a proof justifying your absence.
Checking your grades
Once you have completed the exams, you can access your grades :
- starting at the end of January/beginning of February for the first semester
- For some programmes such as the Master 2 in International Management, it can be later.
- Starting at the end of May for the second semester
Your grades will be accessible on the Mon Dossier Web platform via your intranet :
- On your UT Intranet, you have to click on ‘Plus d'applications’.
- Then, click on ‘Consulter’, and in the list you will find ‘MDW’ (Mon Dossier Web), where you will be able to see your results.
Understanding your grades
In France, you will be marked out of 20 points :
- If you receive a final mark of at least 10/20, you have passed the course.
- If you receive a final mark below 10/20, you have failed the course.

Receiving your transcript of records
Your transcript of records is available via Mon Dossier Web:
- On Mon Dossier Web, you just have to download your transcript of records and send it to your home university
- The document is already stamped and signed by UT Capitole.
- If your home university prefers to have your document sent by UT Capitole, we invite you to inform the UT Capitole International Office by attaching your transcript uploaded to Mon Dossier Web.
Resit exams
You may be eligible to attend resit exams if you failed a course :
- To take resit exams, you should have obtained a grade that is under 10/20.
All incoming exchange students will receive an email from the TSM International Relations Office about the registration to resit exams.
Resit exams for semester 1 and for semester 2 will take place in June :
- For students who come for fall semester only, try to make yourself available for June if you are concerned by resit exams!
- Please, note that not every TSM professor decides to organise online resit exams : it depends on the professor.
